- Driver information: CDL number, CDL state, home base location, driver type, and employment details
- Fleet data: vehicle details, trailer information, maintenance records, and compliance documents
- Financial data: billing information, invoice details, settlement records, and fuel purchase data
- Application data: information submitted through driver applications, including personal details, employment history, and qualifications
- Communications: messages sent through the platform, notes, and support inquiries
2.2 Information Collected Automatically
- Location data: GPS coordinates from the mobile application for fleet tracking, geofencing, and stop proximity verification
- Device information: device type, operating system, and app version
- Usage data: pages visited, features used, and interaction patterns
- Log data: IP addresses, browser type, access times, and referring URLs
2.3 Information from Third Parties
- Authentication data from Clerk (our identity provider) including session tokens and organization membership
- Weather data from the National Weather Service for route safety alerts
- EIA diesel fuel price data for fuel surcharge calculations
- Tenstreet driver application data when integrated with your Tenstreet account

- Provide, operate, and maintain the transportation management platform
- Track fleet locations and generate route optimization recommendations
- Process billing, invoicing, settlements, and financial reporting
- Generate compliance reports including IFTA, driver hours, and inspection records

4. Data Isolation and Security
Each client organization operates on a dedicated, isolated database deployment. Your data is physically separated from other organizations' data — there is no shared database between clients. This deployment-level isolation ensures that one organization's data cannot be accessed from another organization's environment.
We implement industry-standard security measures including encryption in transit (TLS), role-based access control (RBAC), and secure authentication via Clerk. Sensitive credentials are hashed using SHA-256 before storage.
5. Location Data
The Fides Motus iOS app collects location data from drivers to enable fleet tracking, geofence alerts, stop proximity verification, and Hours of Service compliance. Location data is collected in the background while the app is in use and periodically when the driver has an active trip. Drivers can manage location permissions through their device settings.
Location data is retained for operational purposes and is accessible to authorized users within your organization based on their assigned role (owner, admin, dispatcher, safety).
6. Data Sharing and Disclosure
We do not sell your personal information. We may share information in the following circumstances:
- Within your organization: Data is shared among authorized users within your organization based on their role permissions
- Service providers: We use third-party services including Convex (database), Clerk (authentication), and Expo (push notifications) to operate the platform
- Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request
- Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction
7. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. Operational data such as trip records, invoices, and compliance documents are retained in accordance with DOT/FMCSA regulatory requirements. You may request deletion of your account and associated data by contacting us.

Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to regulatory retention requirements)
